Combined Officers Duties:

Governor

The Governor serves on the National Board of Directors for a two-year term, beginning concurrently with the national officers’ terms.

  1. Attend and participate in the National Conference.
  2. Provide national report at division meetings.
  3. Advise division officers and share relevant historical meeting practices.
  4. Monitor and communicate changes affecting the weighing industry.
  5. Attend or participate in Board meetings when available.

Chairperson

  1. Provide leadership for the division.
  2. Call and preside at all division meetings
  3. Appoint committees, as necessary. Examples are membership, nominations, publicity, awards, etc.
  4. Assure that all requirements of the ISWM headquarters are met in a time. Ensure all required financial reporting is done on time, and that all award nominations are submitted to the ISWM headquarters on time. In addition, the division Chairperson should confirm that the nominations for District Officers are submitted to the ISWM headquarters.

Vice Chairperson

  1. Assist the Chairperson in his/her duties and responsibilities and to preside over meetings in the absence of the Chairperson.
  2. Assist the Program Chair finding speakers.

Secretary-Treasurer

Some divisions may have these positions separated; therefore, responsibilities are separated in this guide.

Secretary

  1. Take minutes and maintain files on all proceedings of the division
  2. Submit meeting details to ISWM headquarters. The date and location of the meeting should be provided to ISWM headquarters as soon as possible to be included in the Calendar of Events and to discourage other divisions from holding meetings on the same date. Specific meeting details provided to ISWM headquarters can be used as additional publicity as articles in the ISWM News, when the timing is appropriate.
  3. Submit details of the results of division elections to ISWM headquarters. In addition, the Secretary should be responsible for all correspondence between the division and ISWM headquarters, as directed by the Chairperson and Vice Chairperson.

Treasurer

  1. Maintain financial division records and submit financial reports as required.
  2. Submit the annual financial report to ISWM headquarters as required.
  3. Maintain a division bank account and pay all division bills as directed by the Chairperson or mandated by division minutes.
